What is Prosperus?

Prosperus is a proposal creation and management platform designed for freelancers and agencies. It helps you create professional business proposals, send them to clients, and track responses – all in one place.

Getting Started

Creating Your Account

When you first sign up, you’ll receive a 7-day free trial with full access to all features. No payment is required upfront. You can upgrade anytime during or after your trial from the Billing section in Settings.

AI-Powered Account Setup

To get started quickly, Prosperus offers an AI Account Setup Wizard that helps configure your entire account by asking you a series of simple questions about:

  • Your business name and what you do
  • The types of services you offer
  • Your typical clients and project values
  • Your preferred communication style
  • How you like to structure payments
  • Your reminder preferences

Based on your answers, Prosperus automatically generates:

  • Your service library with descriptions and pricing
  • An “About” section for your proposals
  • Terms & Conditions tailored to your business
  • Email templates with your preferred tone
  • Reminder schedules for follow-ups

The Proposal Builder

Overview

The heart of Prosperus is the Visual Proposal Builder – a WYSIWYG (What You See Is What You Get) editor where you create and customize proposals. Think of it like a document editor, but specifically designed for business proposals.

How It Works
  • Click “New Proposal” from your Dashboard or Proposals page
  • Build your proposal using the slide-based system
  • Preview how it will look to your client
  • Publish and send to your client via email
Proposal Slides

Every proposal is made up of slides (sections). You can add, remove, reorder, and customize these slides:

  • Cover — Your proposal title, logo, client name, and date
  • About — An introduction to you/your company
  • Brief — Project overview, client challenges, and objectives
  • Services — The services you’re offering with descriptions
  • Timeline — When the project will happen and how long it takes
  • Pricing — Your pricing packages and payment options
  • Case Studies — Examples of your past work
  • Team — The team members working on this project
  • Terms & Conditions — Legal terms for the engagement
  • Custom Slides — Any additional content you want to include
  • Image/Video Slides — Visual media to enhance your proposal
Drag and Drop

You can drag and drop slides in the sidebar to reorder them however you like. This lets you structure each proposal to tell the story that works best for that specific client.

Auto-Save

Your work is automatically saved as a draft every 30 seconds. You’ll never lose your progress!

Services & Pricing

Your Service Library

In Settings, you can build a Service Library – a collection of all the services you offer. Each service includes:

  • Name and description
  • Base price (one-time or monthly)
  • Deliverables/tasks included
  • Key features/benefits
  • Default duration (how long it typically takes)

When creating proposals, you simply select services from your library instead of typing them out each time.

Pricing Packages

For each proposal, you can create one or more Pricing Packages (think “Basic”, “Standard”, “Premium”). Each package can include:

  • Different combinations of services
  • Custom pricing (you can adjust prices per proposal)
  • Discounts
  • Rush surcharges
  • Tax calculations
Payment Options

Prosperus supports flexible payment structures:

  • Full Payment Upfront — Client pays 100% before work begins
  • 50/50 Split — Half upfront, half on completion
  • Custom Split — Any split you prefer (e.g., 30/30/40)
  • Payment Plan — Spread one-time costs over monthly installments
  • Hybrid — Combination of upfront payment + monthly installments

For monthly services (like retainers), Prosperus automatically handles the separation between one-time project fees and ongoing monthly costs.

Timeline Options

Standard Timeline

Shows a simple start date, end date, and duration (in weeks). You can also add flexibility (e.g., “4-6 weeks” instead of just “5 weeks”).

Gantt Chart

A visual timeline that shows each service as a bar on a calendar. You can:

  • Set start and end dates for each service
  • See overlapping work phases
  • Give clients a clear visual of the project schedule
Custom Timeline

If you prefer to describe the timeline in your own words, you can write a custom description instead of using the structured formats.

Sending Proposals to Clients

Publishing

When your proposal is ready, click Publish. This creates a snapshot of your proposal – a frozen version that the client will see. You can continue editing after publishing without affecting what the client sees.

Sending

After publishing, you can Send the proposal via email. Prosperus uses your email templates (customizable in Settings) to create a professional email with a link to view the proposal.

The email includes:

  • Your customized message
  • A prominent “View Proposal” button
  • Your signature

Every proposal gets a unique, secure link (like yoursite.com/p/abc123). Only people with this link can view the proposal. You can also copy and share this link manually if you prefer.

What Clients See (Client Portal)

When your client clicks the link in their email, they see a clean, professional view of your proposal – without any of the editing tools.

Clients can:

  • Browse through all the slides
  • Read your services, timeline, and pricing
  • Click on case studies to see more details
  • View terms and conditions
Responding to a Proposal

At the end of the proposal, clients can:

  • Accept — If accepting, they:
    • Select a pricing package (if you offered multiple options)
    • Sign with their digital signature (using their mouse or touchscreen)
    • Enter their name (and optionally company name)
    • Add any comments
  • Decline — They can reject the proposal with optional feedback
  • Ask Questions — They can submit questions/comments without accepting or rejecting
Digital Signatures

Prosperus includes built-in signature capture. Clients draw their signature directly on the screen. The signed proposal includes:

  • The signature image
  • Signer’s full name
  • Company (if provided)
  • Date and time of signing

After a Client Responds

Automatic Notifications

When a client responds, you automatically receive an email notification with:

  • Whether they accepted, declined, or have questions
  • Which package they selected (if applicable)
  • Their signature (if accepted)
  • Any comments they left
PDF Generation

When a proposal is accepted and signed, Prosperus automatically generates a PDF of the proposal and emails it to both you and the client. This serves as a record of the agreement.

Automated Reminders

How Reminders Work

If a client hasn’t responded to your proposal, Prosperus can automatically send follow-up reminder emails. You configure this in Settings:

  • Enable/Disable reminders globally
  • Set timing – Which days after sending to send reminders (e.g., day 3, day 7, day 12)
  • Customize templates – Each reminder can have its own subject and message
Reminder Templates

Templates support placeholders that automatically fill in:

  • {clientName} – The client’s name
  • {proposalTitle} – The proposal title
  • {viewLink} – Link to view the proposal
Smart Tracking

Prosperus tracks:

  • How many reminders have been sent
  • When the last reminder was sent
  • How many times the client has viewed the proposal

Branding & Styling

Global Brand Settings

In Settings, you can configure your default brand appearance:

  • Logo – Appears on your proposals
  • Cover Image/Color – Background for the cover slide
  • Primary Color – Your brand’s accent color
  • Typography – Font choices for titles, headings, and body text
  • Corner Style – Rounded or sharp corners
Proposal-Specific Styling

Each proposal can either:

  • Use global settings – Inherit your brand defaults
  • Use custom styling – Override fonts, colors, or backgrounds for that specific proposal

This lets you maintain consistency while still customizing for specific clients (e.g., matching a client’s brand colors).

  • Profile – Your name, profile picture, and account details
Proposal Customization
  • Brand & Styling – Logo, colors, fonts, cover images
  • Pricing – Default payment terms, tax settings, rush fees
  • Emails – Templates for sending proposals
  • Reminders – Automated follow-up configuration
Content Library
  • About – Your company introduction (used as default in proposals)
  • Services – Your service library with pricing
  • Case Studies – Portfolio of past work
  • Custom Slides – Reusable custom slide templates
  • Terms & Conditions – Your standard legal terms
  • Slide Titles – Customize titles for each slide type
AI Style Settings

Configure how Prosperus’s AI generates content for you:

  • Tone presets – Professional, friendly, casual, formal, or enthusiastic
  • Custom instructions – Specific guidelines for your AI-generated content

Dashboard

Your dashboard gives you an at-a-glance view of:

  • Personalized greeting (based on time of day and your activity)
  • Setup checklist for new users
  • Proposal stats – Drafts, sent, viewed, accepted counts
  • Recent proposals with quick access

AI Proposal Builder

Chat with the AI assistant to create a proposal. Just describe your client and project, and Prosperus generates:

  • Project title
  • Project outline and objectives
  • Service recommendations
  • Timeline suggestions
  • Content tailored to your writing style

The AI can generate:
